European Project Manager/Proposal Writer


The Project Manager will be responsible for the general (organisational, administrative, financial and legal) management of one or several European projects. In addition, the candidate will support the Science Office team in their tasks related to European Projects support: administratively monitoring of a pool of other (European) projects in which the LIH is involved as beneficiary and be involved in new proposals set-up.

Key Accountabilities

As a Project Manager:

  • Assist the Project coordinator in supervising the implementation of the project(s) and monitoring the work plan; provide support in planning, producing and reviewing the deliverables and outcomes to ensure timely delivery;
  • Monitor all contractual obligations (Grant Agreement, Consortium Agreement and other legal documents) and prepare updates when necessary to ensure compliance with the Horizon Europe rules and procedures;
  • Assist partners on the administrative aspects of the project;
  • Develop and implement the management tools for the management of the project(s) (procedures, guides, templates, collaborative platform…);
  • Prepare consortium meetings (annual meetings, Executive Committee meetings, etc.) and draft minutes;
  • Animate the consortium and facilitate exchanges between partners by implementing internal communication actions (mailing lists, animation of the collaborative platform…);
  • Assure efficient communication between the funding agency (HaDEA/EC) and the consortium;
  • Follow the expenses at the project level (breakdown and transfer of funds, updating and monitoring of the budget, financial summary balance sheets, etc.);
  • Coordinate the preparation, consolidation and submission of annual technical and financial reports, within the deadlines; make sure that any justification document is prepared and filed by each partner, in anticipation of possible audits. 
  • Liaise with LIH support services to follow internal budget, prepare LIH`s financial reports for the project, inform on the breakdown of project funds between partners and send budget transfer requests at the appropriate timing, follow up on legal/regulatory issues, etc.; 
  • Administratively and financially monitor the implementation of other EU-funded projects where the LIH is a Beneficiary (without being the Coordinator), including reporting tasks on behalf of the LIH.

As a grant writer within the Science Office:

  • Participate in the initiation and set-up of new European projects (information on calls for proposals and identification of relevant topics to LIH researchers, analysis of the fit of LIH research with European calls, support to coordinators in the definition of projects, search for partners at European level, consortium management during the proposal preparation process, writing of para-scientific parts of the proposals, critical review of the whole proposal);
  • Participate in the provision of internal trainings on European research funding. 

Key Skills, Experience and Qualifications

  • Master or equivalent ideally in Life Sciences-related disciplines, training/experience in European project management; PhD is a plus;
  • Good knowledge and experience (+4 years) in European calls for proposals and in R&D&I project management (e.g. H2020, HORIZON EUROPE, LIFE, EDCTP, EU4HEALTH, DIGITAL…);
  • Knowledge of the operating rules and administrative procedures of a public research organization;
  • Process-orientated with excellent planning and organizational skills; 
  • Good communication skills; 
  • Ability to work in multinational environment and interact efficiently with multicultural partners;
  • Flexibility, adaptability, autonomy, target-oriented;
  • Language skills: fluent command of English in written and oral are crucial (French/German are an asset).
